Talent Direct respects your privacy and is committed to protecting personal data. This Privacy Notice explains how we collect, use and share personal data in connection with our recruitment services, for both candidates/job applicants and client organisations.

1. Who this notice applies to

Candidates / Job Applicants: individuals who apply for roles through Talent Direct or whose details are submitted to us for consideration for employment opportunities.

Client Organisations: companies or organisations that engage Talent Direct to provide recruitment services and may receive candidate information.

2. Data we collect

Candidates / Job Applicants

  • Name, contact details including email, phone and address
  • CVs, employment history, qualifications and professional experience
  • References, right-to-work documentation and identity verification documents
  • Marketing preferences and communications

Client Organisations

  • Contact details of key personnel
  • Organisation information for recruitment, invoicing and business purposes

3. How we use personal data

Candidates / Job Applicants

  • Assess suitability for job opportunities
  • Present candidates to clients for consideration
  • Communicate about applications, interviews and recruitment processes
  • Send marketing communications regarding relevant opportunities

Client Organisations

  • Deliver recruitment services and manage relationships
  • Receive candidate information to fill vacancies

4. Lawful basis for processing

For candidates and job applicants, Talent Direct may rely on legitimate interests, contract and legal obligation. This includes processing CVs and applications, presenting candidates to clients, sending relevant communications and verifying right-to-work or other statutory requirements.

For client organisations, Talent Direct may rely on legitimate interests, contract and legal obligation to manage business relationships, deliver recruitment services, invoice clients, maintain accounting records and comply with law.

Where processing relies on legitimate interests, Talent Direct has assessed that processing is necessary, proportionate and that individual rights are considered and protected.

5. Sharing personal data

Candidate data may be shared with client organisations for recruitment purposes, professional advisers, technology providers and regulatory authorities where legally required.

Client organisation information may be shared with professional advisers, regulators or service providers where necessary to deliver recruitment services.

Talent Direct does not sell personal data.

6. International transfers

Data is primarily processed and stored in the UK. If data is processed outside the UK, for example through cloud services, Talent Direct ensures appropriate safeguards are in place, such as adequacy decisions or standard contractual clauses.

7. Data retention

Typically up to 12 months after the recruitment process concludes, unless earlier deletion is requested, required contractually or otherwise required by law

Data that is no longer required is securely deleted or anonymised.

8. Security

Talent Direct implements technical and organisational security measures to protect personal data, including:

  • Password-protected devices and accounts
  • Restricted access on a need-to-know basis
  • Secure communications
  • Regular review of storage and access
  • Secure deletion of unnecessary data

Any notifiable data breaches will be reported in line with UK GDPR requirements.

Candidates, job applicants and client organisations have the right to:

  • Access their personal data
  • Rectify inaccuracies
  • Request erasure or restriction of processing
  • Object to processing based on legitimate interests
  • Withdraw consent for marketing communications

Individuals also have the right to lodge a complaint with the Information Commissioner's Office if they believe their personal data has been handled improperly.
